Position: Head Attendance Clerk Reports to: Campus Principal Status: Non-Exempt/At-Will Paygrade: D4 Calendar: 193 Location: Assigned Secondary Campus
BASIC FUNCTION: This position is responsible for secretarial duties, clerical data entry, maintenance of records and a wide-range of duties pertaining to student attendance. In addition, the attendance office personnel carry other responsibilities as required/requested by campus administrators to assist in achieving efficiency and effectiveness in running a large middle school/high school.
QUALIFICATIONS: (Job Knowledge)
1. High School Diploma or GED 2. Must have minimum 3 years clerical experience 3. Minimum of 45-50 wpm typing 4. Experience in basic computer operations 5. Above average oral and written communication skills 6. Experience in operating basic office equipment and attendance scanner 7. 1. Issue absentee slips and verify reasons for absence. 2. Check In/Check Out Students; obtain parent verification. 3. Maintain records for all incoming students. 4. Verify absence calls to parents. 5. Prepare attendance profile at student/parent/court request. 6. Supervise attendance office staff and student workers. 7. Prepare first day attendance verifications (pink cards) and enrollment cards. 8. Perform attendance scanning. 9. Manage computer information systems (Region XX with School system). 10. Verify accuracy of duo computer systems. 11. Prepare Principal’s Six Weeks Report. 12. Prepare Daily Attendance Report and disseminate to offices. 13. Balance withdrawals, entries, and attendance changes, running report and school system program weekly. 14. Serve as Region XX contact person for input management. 15. Input PEIMS data. 16. Prepare scan sheet and distributes to teachers. 17. Maintain demographic records and updates. 18. Manually input attendance of auxiliary educational programs Guidance Center, HAC, Homebound, OCS, field trips and disseminate information to teachers. 19. Employ use of phone master (daily attendance calls) 20. Prepare any attendance based/related reports. 21. Answer telephones, screens calls, and answer routine inquiries. 22. Set up attendance committee appointments. 23. File and sort student records. 24. Sign for incoming packages and notify offices. 25. Serve as front office receptionist as needed. 26. Take and deliver parent-to-student messages. 27. Order office supplies. 28. Prepare teacher packets. 29. Stuff envelopes with end-of-year report cards. 30. Assist in registration procedures. 31. Prepare and upkeep student attendance folder and notes. 32. Order computer attendance supplies (scan sheets, paper). 33. Attend meetings and workshops relevant to attendance. 34. Perform other job-related duties as may be assigned by the Campus Principal, Attendance Administrator or designee.
