Job Title: Administrative Assistant to Communications Exemption Status: Nonexempt/At-Will Pay grade: D6 Calendar Days: 226 Reports to: Public Information Officer/Executive Director of Human Resources Dept./School: Communications
Primary Purpose: This position is responsible for providing secretarial, clerical, and administrative support to the staff assigned to work with the Public Information Officer and the Harlandale Independent School District.
Qualifications:
Education/Certification: Associates Degree in computer science, communication or related field preferred
Special Knowledge/Skills: Proficient keyboarding and file maintenance skills Ability to use software to develop spreadsheets, databases, and do word processing Experience in web management, programming, and photography equipment Experience working with computer programs including but not limited to MS Office and Adobe Creative Suite (Photoshop, InDesign, Dreamweaver, Fireworks, Flash, Illustrator) Ability to work with campuses and departments to develop a web communication strategy Strong organizational, communication, and interpersonal skills Ability to perform a variety of tasks often changing assignment on short notice Experience designing, updating and maintaining websites Reliable transportation required
Principal Activities
(Major and Specific) 1. Handles all clerical responsibilities such as typing correspondence, phone calls, events calendar, scheduling meetings, etc and handles incoming and outgoing correspondences.. 2. Prepares department forms as needed (i.e. purchase orders, request for payment forms, travel authorization, contracts, settlements, etc.). 3. Maintains physical and computerized department files, including publication mailing lists. 4. Prepares reports, media releases, newsletters, workshop materials, brochures, agendas, presentations, spreadsheets, etc. using desktop publishing software. 5. Inputs data into database for a variety of programs and events. 6. Assists with fundraising events and activities. 7. Assists with public relations events, activities and publications. 8. Ensures confidentiality of all classified materials. 9. Gathers information as needed, generate ideas to produce multi-media materials. 10. Maintains calendar of school district activities and events. 11. Assist in layout for publications. 12. Manages multiple events with respect to deadlines, communication with supervisors, notifications by phone, mail, e-mail. 13. Establishes and maintains effective working relationships with staff, community, new media, general public. 14. Thinks creatively and works as a team member to accomplish district goals/mission. 15. Working knowledge of public educational school operation related issues. 16. Communicates effectively, both verbally and written, with diverse groups of individuals with tact and diplomacy. 17. Writes news/feature articles for distribution to the news media and/or district publications. 18. Assists with the publication of regular newsletters to various audiences. 19. Assists with photography and videography for district publications. 20. Attends meetings, conferences, and workshops on behalf of Communications Department. 21. Management and editing of web content for district and department websites. 22. Requirements gathering, development and maintenance of public web software. 23. Creates and coordinates with other district staff to create designs and graphics for websites and software. 24. Stays current on copyright, privacy and public information issues, etc., and advise on district guidelines. 25. Works with Technology Services department on web and database server configuration and maintenance 26. Serves as liaison with all campus webmasters. 27. Establishes standards for website implementation. 28. Trains staff on website development 29. Maintains district website, and monitors all district website for appropriate and up-to-date information. 30. Keeps the district current on trends and issues concerning educational websites. 31. Updates and monitors all district websites and social media sites. 32. Performs other job-related duties as may be assigned by the Public Information Officer.

Tools/Equipment Used: Standard office equipment including personal computer, broadcast monitoring system,professional digital SLR camera and HD video equipment
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours and travel within the District and occasionally outside the district/county
