Primary Purpose:

This position involves a wide range of clerical, secretarial and administrative support to a Curriculum & Instruction Coordinator and Facilitator(s).     


Qualifications:


Education/Certification:

High school Diploma or GED
 

Special Knowledge/Skills:
Must have minimum 3 years office experience

Proficient keyboarding and file maintenance skills

Ability to use software to develop spreadsheets, databases, and do word processing

Experience working with computer programs including but not limited to MS Office and Google Drive
Excellent organizational skills/attention to detail

Ten-key by touch skills, Ascender Familiarity (preferred)
Knowledge of basic bookkeeping/filing secretarial skills
Self-directed – can organize and process information with a minimum of direction and supervision

Possess basic math skills
Maintains department budget
Knowledge of bookkeeping principles

 

Principal Activities

 

(Major and Specific)
1. Assists coordinator and/or facilitator(s) with processing of purchase orders from campuses and
department.
2. Prepares memos, flyers, and other information to be sent to campuses and department.
3. Prepares requisitions for supplies, equipment, and employee travel.
4. Answers telephones, screens calls, and relays appropriate information to department administrators.
5. Maintains an updated budget report for immediate supervisor.
6. Runs copies of agendas and handouts for meetings.
7. Assists in compiling and filing information for preparing various reports for the department.
8. Maintains a schedule of appointments and make travel arrangements for department staff (type and
process travel authorizations and travel settlements).
9. Ensures confidentiality when required.
10. Performs bookkeeping tasks, making mathematical calculations, transfer of monies and balancing of
budget.
11. Performs other job-related duties as may be assigned by immediate supervisor.
12. Performs varied typing tasks and use computer programs in the preparation of correspondence, forms,
reports, etc.
13. Maintains accurate department records.

Tools/Equipment Used: Experience in operating all types of office equipment


Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting


Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching


Lifting: Occasional light lifting and carrying (less than 15 pounds)


Environment: May work prolonged or irregular hours and travel within the District and occasionally outside the district/county


Mental Demands: Work with frequent interruptions; maintain emotional control under stress
