Primary Purpose:
Perform general bookkeeping and maintain campus financial records, including campus activity funds.


Qualifications:


Education/Certification:
High school diploma or GED

 

Special Knowledge/Skills:
Knowledge of bookkeeping principles and practices
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Ability to use software to develop or maintain spreadsheets and do word processing
Ability to maintain accurate and auditable records
Ability to work with numbers in an accurate and rapid manner to meet established deadlines
Effective organizational, communication, and interpersonal skills

 

Experience:
3 years office/clerical experience


Major Responsibilities and Duties:


Accounting
1. Maintain complete and systematic records of campus financial transactions according to established procedures and generally accepted accounting principles.
2. Monitors student organization account balances to ensure the accounts do not become overdrawn and communicates with sponsors regarding account balances.
3. Process and account for all money generated and distributed in school-sponsored activities, including receipt of cash and preparing and making cash deposits.
4. Issues checks from the activity fund account, ensuring the Disbursement Voucher has been properly completed and approved before the check is issued.
5. Reconciles all accounts on a timely basis.
6. Prepares paperwork and arranges for transportation for U.I.L., cheerleader/pep squad, student organization, and other field trips as designated by the campus principal.
7. Assists with athletic ticket sales and receipts.
8. Commences collections of returned checks by phone and/or written correspondence.
9. Handles records, complaints, and refunds of the campus vending machines.
10. Issues faculty parking permits.
11. Requests required information from Parent/Booster Organizations as required by Board Policy GE (local).
12. Maintain inventory of campus fixed assets, equipment, and supplies.
13. Assists in the principal’s office as needed including answering in-coming calls, substitute arrangements and other routine tasks.


Records
14. Prepare monthly and other periodic campus financial reports.
15. Assists with all textbook fines and other records as requested.
16. Assist with campus budget preparation.
17. Compile, maintain, and file all reports, records, and other documents as required.


Other
18. Maintain confidentiality.
19. Follow district safety protocols and emergency procedures.
20. Performs other job-related clerical and secretarial duties as may be assigned by the campus principal or designee.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals


Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)


Environment: May work prolonged or irregular hours


Mental Demands: Work with frequent interruptions; maintain emotional control under stress
